How do I send my first invoice?
Add a client under Clients, then press New invoice, fill in the lines and press Issue and send. It takes about a minute.

Can I use Klaar on my phone?
Yes. It runs in your phone's browser with no app to install — go to the same web address and sign in.

Why can I not edit an invoice after sending it?
Because your client may already have claimed input VAT off it. Issue a credit note instead — that reverses the original and leaves both records on file.

How does invoice numbering work?
Numbers are assigned when you issue, not when you start a draft, so the series is consecutive with no gaps.

Can I send a quote first?
Yes. Create the document as a Quote, and when the client accepts, duplicate it into an invoice rather than retyping it.

I bill the same client the same thing every month
Open last month's invoice and press Duplicate. You get an identical draft with today's dates, ready to send.

Where do I put my bank details?
Settings, then the Bank details section. They print on every invoice for clients who pay by transfer.

When may I call something a Tax Invoice?
Only if you are registered for VAT. Klaar reads your VAT setting and picks the correct heading, so you cannot get it wrong by accident.

What is the difference between a full and an abridged tax invoice?
It depends on the VAT-inclusive total. Over R5 000 needs a full tax invoice with the client's name and address. Between R50 and R5 000 an abridged one is enough.

Why does it complain about my line descriptions?
"Services rendered" and similar are the descriptions SARS flags most often, because they do not identify what was actually supplied.

Can I invoice a client in another country?
Yes. Klaar invoices in rand, and exported goods or services are often zero-rated — set the VAT rate on the line to 0 where that applies.

How do my clients actually pay me?
Every invoice carries a pay link and a QR code. Your client taps it and pays by Apple Pay, card or Instant EFT. No account or app needed on their side.

Apple Pay is not showing on my invoices
Apple Pay needs three things: international transactions enabled on your gateway, your domain registered with them, and the site running over HTTPS.

What happens when a client pays late?
The invoice flips to overdue and, if chasing is on, three reminders go out at 3, 10 and 21 days past due, each firmer than the last. They stop the moment anything is paid.

Can a client pay part of an invoice?
Yes. Record the amount received and the balance stays live on the invoice until it is settled.

How do I take a deposit before starting a job?
Invoice for the deposit amount, then invoice the balance when the work is done. Or send the full invoice and let them pay part of it.

My client says they never got the invoice
Check the audit trail on the invoice. It records when it was sent and when the client first opened the pay link.

My client is disputing the invoice
Klaar gives you the dated record — when it was issued, sent, opened and part paid. Settling the dispute itself is between you and them.

How do I refund a client?
Refund the money through your payment provider's dashboard, then issue a credit note in Klaar so your records match.

What does Klaar cost?
Starter is R149 a month, Growth R349 and Pro R699. You pick a plan and pay before the invoicing screens open.

Why can I not get into my invoices?
Access opens once your subscription payment goes through. Head to Billing, pick a plan and pay, and everything unlocks straight away.

My subscription payment failed
You keep working for five days while we retry. Update your card on the Billing screen and the retry usually goes through immediately.

Can I get a refund on my subscription?
Within seven days of subscribing, yes, in full and without giving a reason. After that we refund billing errors, double charges and outages on our side.

How do I cancel?
Billing, then Cancel subscription. You keep access until the end of the period you have already paid for, and your data stays exportable.

Can I get my data out?
Any time, from Settings. Invoices, line items, clients and a VAT summary, all as CSV. No request form and no waiting period.

Can I give my bookkeeper access?
Yes, on the Growth and Pro plans. Owners control bank and VAT details, staff can invoice but not change them, and accountants get read access plus exports.

I cannot sign in
Use the Forgot your password link on the sign-in page. The link we email you works once and lasts an hour.

What does my accountant need at year end?
The line-item export, under Settings. It breaks every invoice into individual supplies with their VAT treatment, which is what they actually work from.

Is my data safe?
Passwords are hashed and never recoverable, payment keys are encrypted, and each business's data is isolated at the query level.
